The evaluation should cover daily users, management, data migration and long-term support. A feature can exist but still be difficult to use or unavailable to the role that needs it. Reports may also look impressive without answering the organization’s actual questions.

Recommended workflow

Prepare a short list of must-have scenarios and sample data. Ask the vendor to demonstrate each. Record answers about hosting, backups, updates, training, support, integrations and export. After the demo, score the product against requirements instead of relying on memory.

  • Can existing data be imported and exported in usable formats?
  • How are edits, deletions or sensitive corrections controlled?

Use a pilot account if available. Let the staff member who will perform the task try it, not only the manager. Test mobile access if staff work on phones. Ask for written scope and assumptions after the demo so verbal promises do not become ambiguous later.
